Set up a learning plan or training

What is a learning plan or training?
Learning plans are a "Set-and-Forget" approach to awareness trainings. Think of a learning plan, as the structured awareness content you want your employees to receive in a period of time, that you configure only once, and forget about it.
- Learning plan: Ordered list of courses from a specific topic area that are distributed into phases (From 1 phase to up to 20).
- Phases: Phases define the frequency in which the learning plan's courses are assigned to the participants, e.g. yearly phases.
- Course/training: Courses are the actual training content that the employees take. Usually distributed into chapters, practice exercises, quizzes and a final test.
- Phase Completion (Graduation): Milestone when a participant completes the course of a phase.
- When a participant completes the current phase course, they move forward to the next phase as soon as it starts.
- If the participant does not complete the current phase course, they cannot move forward to the next phase and have to take the course again.
- Loops: Looping a learning plan means, that after the last phase is finished, it will start again from the beginning. So the next phase after the last one, will be the first phase again (represented by an arrow).
How do I configure my learning plan?
1. Create a new learning plan.
First navigate to the "Overview" page and click on "+ New learning plan"
2. Configure your learning plan's parameters
- Name of the learning plan: Pick a relevant name for the training, that will help remember its content and settings e.g. "Quarterly Cyber Security Training"
- Topic Area: Pick the topic area of your training:
- Cyber Security including content such as: Why cyber security?, Email & phishing, Ransomware, EU AI Act and NIS 2
- Data Privacy including content such as: GDPR introduction, Data protection in everyday life β GDPR in companies or Data protection in the home office
- Occupational safety including content such as: Basics of occupational safety, Accident prevention and Health and ergonomics
- Compliance including content such as: Conflicts of interest, Gifts and benefits, Supply Chain Act and Whistleblowing
- Frequency of trainings: We offer training frequencies to match your organization's trainings schedules. Here you can define the periods of your training. For example, if the training should be done once per year, then select "Year".
- Phases Concept: We structure the learning plans into phases; each phase has an specific course.
- Phases Duration: The phases of the learning plan can be set to a specific duration. For example, if you select 'Quarter', each phase of the learning plan will last 3 months. This means that participants in this phase will have 3 months to complete the course and will then be moved to the next 3-month phase.
- At the moment you cannot create phases with arbitrary durations e.g. 2 weeks or arbitrary date ranges e.g. From the 15th of April to the 20th of June. If you are interested in these features please contact: support@is-fox.de
- Start Date: Match your training's start date with your organization's training schedule.
- If your training period already started, you can select a date in the past. Your training will start immediately and the next iteration will be aligned to your training schedule. For example, if you training period starts every year in March, but you are configuring your learning plan in July 2025, you select the starting date March 2025.
- If you training period starts in the future, you can select a date in the future. Your learning plan will be flagged as "scheduled", and you will be able to edit it until the start date.
- The start date of a learning plan can only be set to the first day of a month.
- At the moment you cannot create starting dates with arbitrary date ranges e.g. From the 15th of April to the 20th of June. If you are interested in this features please contact: support@is-fox.de
- Notification: We will automatically send monthly e-mail reminder to all participants who have not completed the course.
3. Select courses and build your learning plan
- Graduation concept: When a participants complete a course, they graduate from it to the next phase. The graduation happens at the end of the phase period.
- Add a course: Explore the course gallery and add a course to a phase. You can only add one course per phase, and only of the topic area of the learning plan.
- Add a phase: The phase duration will depend on the frequency of training selected in the previous step. In this example, the frequency is yearly.
- Repeat sequence (Loops): This is a "set and forget" feature. Repeat the sequence if you want your learning plan to start from the beginning as soon as it is completed. When the participant completes the last phase, in the next iteration they will be enrolled into the first phase of the learning plan.
4. Confirm you selection
On the last step, confirm your selection. Learning plans with a start date in the present or the past, cannot be edited, so make sure you are correct!
How do I delete a learning plan?
On the overview page of the learning plan, you can delete it using the delete button.
Important: Deleting the learning plan permanently deletes all progress data for the employees enrolled in it.
